Subject: FW: Options for students having difficulty completing assessment

Please see below email from Anita Brady - Associate Dean, Students. Please circulate to your teaching staff.

Kia ora koutou,

We are at that point in the calendar when students' best efforts to complete courses can run up against unforeseen circumstances and a rapidly concluding trimester. Attached to this email is an overview of the options for students who are having difficulty completing assessment in a course with an indication of which option is appropriate for which circumstances, and what the process is for each one. Links to the relevant policies and guidelines are also in the attached document. Most are in the Assessment Handbook<https://apc01.safelinks.protection.outlook.com/?url=https%3A%2F%2Fwww.wgtn.ac.nz%2Fdocuments%2Fpolicy%2Fstaff-policy%2Fassessment-handbook.pdf&data=05%7C02%7Csam-lecturing%40lists.vuw.ac.nz%7C177d2b7024f145d1ab6708df1a8d16de%7Ccfe63e236951427e8683bb84dcf1d20c%7C0%7C0%7C639258865706397626%7CUnknown%7CTWFpbGZsb3d8eyJFbXB0eU1hcGkiOnRydWUsIlYiOiIwLjAuMDAwMCIsIlAiOiJXaW4zMiIsIkFOIjoiTWFpbCIsIldUIjoyfQ%3D%3D%7C0%7C%7C%7C&sdata=VGL5PRXrP1E90fuEAF8iKqiy3rvVLGSrmi%2BerAx5yrM%3D&reserved=0> in Section 6.6 (Extensions) and Section 13 (Alternative provisions for special personal circumstances).

Broadly, the options are:

  1. Extensions: suitable for most students, always consider in the first instance. Approval: CCs until Grade Entry, extensions beyond that need AD approval
  2. Alternative or modified assessment. Approval usually HOS (sometimes AD)
  3. Reweighting: up to 30% of assessment. Approval HOS
  4. Aegrotats: always the last resort with strict eligibility and approval criteria, so please read the notes attached. Approval AD
  5. Associate Dean Late Withdrawal: Suitable for students who have shown some engagement but not been able to complete most or any of the assessment in a course due to extenuating circumstances, and are unlikely to be able to do so even with extensions/reweighting etc. Approval AD

If you are unsure of which option is the most appropriate, or you have any questions please contact either Anita (Associate Dean (Students)) for undergraduate courses, or Alfio (Associate Dean (Post Graduate)) for Hons courses and above.

As you'll all be aware, this can be a very stressful time for our students and if you have any concerns about a student's wellbeing please see the Supporting Student<https://apc01.safelinks.protection.outlook.com/?url=https%3A%2F%2Fintranet.wgtn.ac.nz%2Fstaff%2Fsupport-students&data=05%7C02%7Csam-lecturing%40lists.vuw.ac.nz%7C177d2b7024f145d1ab6708df1a8d16de%7Ccfe63e236951427e8683bb84dcf1d20c%7C0%7C0%7C639258865706414957%7CUnknown%7CTWFpbGZsb3d8eyJFbXB0eU1hcGkiOnRydWUsIlYiOiIwLjAuMDAwMCIsIlAiOiJXaW4zMiIsIkFOIjoiTWFpbCIsIldUIjoyfQ%3D%3D%7C0%7C%7C%7C&sdata=GHBU%2B7AtWjodzNEDvwFJmSMtLefNDXRnaNWgXUe1dKA%3D&reserved=0>s info on the intranet for advice and contact information, or contact Anita, Alfio or your HOS.

TL;DR: There are a number of options for students struggling to complete assessment - check with Anita if you're not sure which one is the most appropriate.

Ngā mihi nui,
Anita
