Kia ora koutou,
>From Monday 18 September 2026, Aegrotat applications will move to a new digital process. Students will apply through Pūaha and staff will manage applications through Kurawai and a new Course Coordinator application.
The new process has been developed in collaboration with Course Coordinators and Associate Deans (Students) and further refined through User Acceptance Testing with representatives from across the faculties and the Exams Office.
For Course Coordinators, the new system will provide a single place to manage the academic profiling for Aegrotat requests. Within the application, staff will be able to:
* Receive notifications when action is required.
* Record student performance and engagement.
* Review assessment results.
* Consider alternative assessment opportunities.
* Compare student performance against the wider cohort.
* Provide an overall academic recommendation through a structured workflow.
The new process is designed to improve visibility of application progress, provide a more consistent assessment experience, and reduce reliance on email-based communication and manual tracking.
Key date
* 21 September- (Week 10, Tri 2) Students can submit Aegrotat applications
* 19 November - Academic assessment of applications begins following the grade entry deadline.
Support and resources
To support the transition to the new Aegrotat system, from 18 September, user guides will be available on the Student Management Systems SharePoint<https://vuw.sharepoint.com/sites/COL_SystemsDocumentation/SitePages/School-Administrative-Staff.aspx?source=https%3A%2F%2Fvuw.sharepoint.com%2Fsites%2FCOL_SystemsDocumentation%2FSitePages%2FForms%2FByAuthor.aspx> site . Additional support sessions will be offered closer to November when academic staff are likely to begin assessing applications.
Thank you for your support as we introduce this new process. If you have any questions, please get in touch.
Noho ora mai
